When you want to collect files with Clustdoc, you can determine the name they will be assigned.
With this feature, you can automate the renaming of the files submitted by your clients to ensure uniform and customized file names according to your needs.
When to rename?
You can define when the file will be renamed:
At creation : Files are automatically renamed as soon as the client uploads them.
At export : Files are renamed automatically when you export them. This will help you maintain a clear and organized file structure, especially when you are handling a large number of documents.
What are the types of renaming ?
You have two options :
Automatic renaming: Uploaded files will be renamed based on the requested document name. Example: if you requested a passport, the file will be renamed “Passport-1.pdf”.
Before: After:
Prefix customization: Uploaded files will be renamed with a personalized prefix you choose, followed by the document name.
Example: If you want your client’s name to appear in the file name, you can choose the merge field “{CONTACT_FULLNAME}” as a prefix. The file will then be renamed “John-Doe-passport-1.pdf”.
How to set up ?
It’s very simple! Here’s how to do it:
Go to your process and select the one you want to configure.
In the side menu, click on Configuration > General.
Find the section "Manage your files renaming policy."
Check the box to choose whether to rename files at upload or export.
Optional: Add a personalized prefix.
Click on “Confirm”.
