Lock or unlock an application anytime

The application locking and unlocking feature offers full control over client access to their applications without having to close it. This option is particularly useful for temporarily suspending client modifications in specific cases, such as when the agent is unavailable or awaiting verification of submitted documents.

How to lock an application ?

  1. Go to your application’s list and select one.

  2. Click on the “Public access” button to lock the application.

3. Once the button is disabled, your client has no longer access to their application.

How to unlock an application ?

  1. Click on the “Public access” button again to unlock the application.

  2. The client then regains access to their application.

Configuring applications locking

It is possible to configure applications locking directly from the settings of a process. This option allows you to define whether an application should be locked upon closure and whether it should be automatically unlocked when reopened.

To access these settings:

  1. Open the relevant process.

  2. Go to Configuration > General and find the Lock closed applications section.

  3. Enable or disable the following options as needed:

    • Lock the application upon closure: Check this box to automatically lock closed applications.

    • Unlock the application upon reopening: Check this box to automatically unlock applications when they are reopened.

  4. Click Confirm to save your changes.

Customizing the Lock Message

When application locking is enabled, a message is displayed to end users to inform them that their application has been locked. This message is customizable and can be used to explain the reason for the lock or provide instructions on the next steps.

Modify the default message

To modify the default message displayed in all applications within a process :

  1. Open the relevant process.

  2. Go to Configuration > General and find the Lock closed applications section.

  3. In the Displayed Message field, enter the text that should appear when the application is locked.

  4. Click Confirm to save your changes.

Modify the message for a specific application

If you want to change the lock message for a specific application, you can do so directly within the application :

  1. Open the relevant application .

  2. Edit the message in the Public Access section at the top left.

Integration in automations

The sections above show how to lock client access manually. You can also use automations to do this completely automatically.

As a trigger :

Example : Notify a team member when an application is locked.

As an action :

Example : Lock an application as soon as it is pre-validated.
