Some processes may require multiple external stakeholders to be completed. Think of processes such as a joint Mortgage loan application or a client onboarding involving 2 or 3 people from your customer's company.
We created the 'Stakeholders role' to help you manage effectively these types of processes.
1/Preparing a multi-stakeholder process
1/ In your Process, click on 'Configuration>Stakeholders' in the sidebar to create more roles for secondary stakeholders
2/ Think of the different roles that may be involved in completing your process besides the primary point of contact.
💡 Use our table below as an example to find who your stakeholders could be.
|Process||Primary Stakeholder?||Secondary Stakeholders?|
|Room Share Application||Tenant #1||Tenant #2, Tenant #3 etc|
2/Assigning line items to specific roles
Now that you've created secondary stakeholder roles, you can assign line items to these different roles. Secondary stakeholders only see the line items that have been assigned to them.
1/ Click on Edit in front of the line item
2/Go to the Assignment tab and assign the line item to the right role
Creating an invitation email for secondary stakeholders (Optional)
1/ Now head over to the "Notifications" tab to create an email invitation template for secondary stakeholders.
This email will systematically be sent to any new stakeholder you invite to an application, so you want to make sure your message is generic enough.
3/Inviting secondary stakeholders to your applications
While working on your applications, you can add a reference email (or person) for each role you've previously defined at the process level.
1/ Go to your live Application then click on "More options>Stakeholders" to add someone's under a specific role.
2/In front of each role, click on the user icon to enter an actual stakeholder's contact details and also trigger the automated invitation email
