How to use Tags
Tags are really powerful. Let's see below what it means to use tags.
Use case | Example of tag setup | Effects on your activity |

Adding a tag to a new application or an existing application |
This allows you and your team to segment your work. This will group applications together and help you filter your application dashboard per tag. |
B | Adding the same tag to a process & to one or several users | The user(s) will only see the tagged process in their account, as well as applications created for this process |
C | Adding the same tag to a portal & to one or several users |
The user(s) will only see the tagged portal and related applications in their account. |
In order to build any of the above scenarios, you'll need to start with Step #1 and the concerned Use case as described below.
📌 Mandatory Step: Creating a tag
- Go to Resources>Tags
- Click on the 'New Tag' button
- Name your tag
- Select a color for your tag and confirm

Use case A: Segmenting your applications thanks to tags
In the following section we'll cover the use case A as described below. Note that there are 2 options.

Adding a tag to a new application or an existing application |
This allows you and your team to segment your work. This will group applications together and help you filter your application dashboard per tag. |
→ Adding your tags when creating an application
- Click on the 'New Application' button in the header
- Fill out the information
- At step 2, type in '#' to see your current list of tags or just add your new tag name and press enter
- Pick or add one tag and repeat
→ Adding your tags in an existing application
This is another alternative to the above setting if you want to tag already created applications.
- Go to Applications and open the client application you want to work on
- Go to the 'More Options' tab in the Sidebar
- Scroll down, click on the pencil icon ✎ and type in '#' to see your current list of tags
- Pick one tag and repeat
Use case B: Assigning specific processes and applications to someone from your team
In the following section we'll cover the use case B as described below.

→ Adding one or several tags to your processes
Go to your Processes and pick one from the list
- Click on Configuration>General to access the section where you'll be able to add tags
- Type in your Tags in the related field to select one from your existing tags
You can create a tag from there as well, just type the new tag's name
→ Assigning tags to team members
This can be managed under the 'Company settings tab'.
- Click on your User profile picture>Set up Team> Users>Team members
- Mouse over your team members and click on the Gear icon
- Add the related tag in the 'Assigned tags' field
- Move on to the second team member and repeat the above steps
Use case C: Assigning specific portals applications to someone
In the following section we'll cover the use case C as described below.

The user(s) will only see the tagged portal and related applications in their account. |
→ Adding one or several tags to your portals
Go to your Portals and pick one from the list.
- Enter the related portal and click on Configuration>General to access the section where you'll be able to add tags
- Type in your Tags in the related field to select one from your existing tags
You can create a tag from there as well, just type the new tag's name
→ Assigning tags to team members
This can be managed under the 'Company settings tab'.
- Click on your User profile picture>Set up Team> Users>Team members
- Mouse over your team members and click on the Gear icon
- Add the related tag in the 'Assigned tags' field
- Move on to the second team member and repeat the above steps​
Deleting a tag
- Go to Resources>Tags
- Click on the dropdown arrow â–¼ in the View Applications button
- Click on 'Delete Tag' and confirm​
Viewing applications under one tag
Head over to Resources>Tags and click on the 'View applications' button of the related tag. All applications tagged under this label will show on the page.
