How to add internal tasks to a process

Internal tasks and to-dos allow your team to stay on top of their work during onboarding.

There are several options allowing you to create internal tasks or todos.

Creating internal steps

Any onboarding step can be marked as internal in order for your team to complete it without the customer knowing.

Eg. Filling out an internal audit form once all supporting documents are approved

All you'll have to do is to mark your step as internal or private and you're all set! It will not be visible by the end-users.

Using internal to-do lists

Important Note: The todo & SOP feature is available with a Booster or a Platinum plan.

While managing a live application, you may need team members to go through a checklist of things that needs to be verified or completed as part of your Standard Operating procedures.

Quick example:

  • Send client's payslips to Compliance department

  • Verify ID Number with CRM data

  • Print and file Client's business certificate

These actions, which must be completed by your team (even if they don't fall directly into the client application's checklist) can be captured using the Clustdoc Todo list feature.

Attaching an internal to-do to a specific step of your checklist

With the to-do feature, you can explicitly list specific tasks that must be completed by your team for a specific step listed in your onboarding checklist. So in order to set it up, head over to your process.

  • Go to your process

  • Scroll to the related step

  • Click on the 'Edit' button, then open the 'Todo/SOP' tab

  • Add your list of tasks

Checking and completing a task on your checklist steps

Once you've listed your various tasks, your team will be able to mark these tasks as completed while reviewing the submitted information.

Let's continue with the above example, we previously set up a few tasks related to the 'contract signature' step of our checklist.

Now let's see how we can complete these tasks in a live client record or application.

What is the difference between the statuses and the todos?

The steps todos (covered in this article) are mostly tasks or operating procedures related to a step.

E.g; Approved by John, Reviewed by Mona

The steps statuses (see this article) allow you to list chronological steps that must occur on your checklist steps. They allow you to understand where you stand in the process for a given step.

E.g; Pending X team review, Audit started

Of course, you can use these features like you'd want to, this is just a few tips to help you understand how they usually work.
