When managing an application, you or your team members may need to go through a checklist of items that must be reviewed or completed as part of your standard operating processes.
Quick example:
Send client's payslips to Compliance department
Verify ID Number with CRM data
Print and file Client's business certificate
These actions, which must be performed by you or your team, can be tracked using Clustdoc's Tasks feature in two different ways:
1. Attaching an internal to-do to an application
You can create tasks that apply to the entire application. These are useful for tracking cross-functional actions to be completed throughout the process. They can be assigned, given a due date, and monitored.
When you click on a task, you’ll access three tabs:
Description – to outline the purpose or details of the task
Notes – to leave internal comments related to the application
Activities – to track any updates made to the application
To create a global task, go to the Tasks section of your process.
2. Attaching an internal to-do to a specific step of your checklist
You can also explicitly list the tasks that need to be completed by you or your team for a specific step of your onboarding checklist. These tasks can also be assigned, scheduled, and monitored.
They will appear in the Tasks section of the file and also include the three tabs:
Description – to outline the purpose or details of the task
Notes – to add internal comments related to the checklist item
Activities – to track any changes made to the application
To create a new task linked to a checklist step:
Go to your process
Scroll to the related step
Click on the 'Edit' button, then open the 'Tasks' tab
Add your list of tasks
Checking and completing a task on your checklist steps
Once you've listed your various tasks, your team will be able to mark them as completed while reviewing the submitted information by going to the “Tasks” tab of an application.
What is the difference between the statuses and the todos?
The steps todos (covered in this article) are mostly tasks or operating procedures related to a step.
E.g :
Approved by John
Reviewed by Mona
The steps statuses (see this article) allow you to list chronological steps that must occur on your checklist steps. They allow you to understand where you stand in the process for a given step.
E.g :
Pending X team review
Audit started
Of course, you can use these features like you'd want to, this is just a few tips to help you understand how they usually work.
