How does data monitoring work ?

Data monitoring allows you to automatically request your clients to update certain information or documents at regular intervals.

For example : Imagine you need to collect an updated proof of address from your clients every 3 months starting in January. With data monitoring, you can automate this process:

  • The system will automatically send a new update request to your clients every 3 months.

  • Clients will receive a dedicated update application where they can upload their new proof of address.

  • Once submitted, the new document is automatically stored in the client’s profile.

This way, you can automate recurring checks (e.g.: compliance documents, certificates, KYC) and save time while keeping your databases up to date.

Create a new group

  1. Go to Settings > Data fields > Data monitoring.

  2. Click “New group”

  3. Fill in the following details:

    • Name: the name of the group (e.g., “Compliance documents”).

    • Type: choose whether you want to create the group for Contacts or Companies.

    • Data fields: select the fields you’ve already created that you want to include in this group.

    • Start date: specify the date from which updates should begin.

    • Frequency: set the update interval (e.g., every month, every 6 months, every year…).

⚠️ A data field can only belong to one update group.

How updates work

When an update is scheduled, the contact or company concerned receives a new request in the form of a new application, where they can provide the required information or documents.

Once the application is submitted, the modified items are automatically updated in the contact and company cards.

The experience is identical to a standard application : :text fields are filled out via a form and documents are uploaded into the corresponding fields.

💡 Update applications are automatically deleted after one month.

Tracking in the contact/company profile

In a contact or company profile, you can set the exact expiration date of a specific field.

To do it : Click on the “three dots” button next to the chosen field and by clicking on this icon, a pop-up will display :

  • The exact expiration date (which can be set manually)

  • The next update date

  • The chosen frequency

⚠️ Note: you can add an expiration date only if the field has already been filled in, since you cannot request an update for an empty field.
