Data link allows you to automatically synchronize information between your Clustdoc applications and your contact or company records.
In practice, this feature saves you from double entry:
Information already stored in a contact/company card can be used to prefill an application.
Information collected in an application can automatically update the fields of the contact/company card.
How to access it:
Open the process of your choice
Go to Settings > Data link
Click on “New Data Link” to create one
Create a new linking
When creating a link, you need to define several parameters:
Mapping direction:
From record to application : The data from the record fills the application.
From application to record: The data from the application updates the record.
Bidirectional: Both synchronizations are possible.
Type of record : Choose whether the synchronization applies to a Contact or a Company.
Synchronised data : Select whether you are mapping information (text fields, list, date, etc.) or documents.
Application step : Indicate the original item
Data field : Indicate the destination field.
Stakeholders : Define which stakeholders are affected by this linking.
⚠️ The source and target must be of the same type (e.g., text field → text field, document → document).
USE CASE 1 : Target to application
You need to create a follow-up application for an existing client. You want to avoid retyping details such as the client’s phone number, in order to save time.
With a data link, the phone number already stored in the contact record is automatically transferred into the application. The form is pre-filled with reliable information.
USE CASE 2 : Application to target
During an onboarding process, a client enters a new phone number in a form. Without automation, the team would have to manually add the phone number to the contact record.
With a data link, the phone number provided in the application automatically updates the contact record. This ensures your team always has the most up-to-date information, without duplicate entry or risk of missing an update.
